Governance App

The Governance App enables enterprises to create lightweight applications that collect feedback, conduct surveys, and manage compliance-driven requests. It supports scenarios such as Data Subject Access Requests (DSAR), Right to Delete/Forget, and internal term curation campaigns.

The module provides two types of applications:

  • Collaborative Survey App – Used for collecting group-based feedback, allowing multiple stakeholders to contribute to a shared response.

  • Open Survey App – Designed to gather individual responses, often for compliance use cases, while maintaining confidentiality.

Both licensed users and external participants can access these apps, enabling broad stakeholder engagement across departments, customers, or third-party users.

Prerequisites

The Governance App requires a properly configured environment for successful deployment and use. Supported deployment methods include Linux-based systems, Windows environments, and containerized infrastructure.

Linux with SSL Support: Deployment on a Linux environment requires SSL configuration to ensure secure data exchange. This option is suitable for organizations with existing Linux-based infrastructure.

Windows Installation: Installing the Governance App on Windows involves ensuring system compatibility and readiness for compliance. Proper configuration and user permissions are crucial for minimizing disruptions.

Container Deployment: Containerized deployment allows the Governance App to be hosted in scalable environments with isolated dependencies. This setup supports governance policies and resource control.

Collaborative Survey App

The Collaborative Survey App allows multiple stakeholders or subject matter experts to contribute responses to a shared form. It is ideal for use cases that require group input, such as term curation or collective policy review.

Governance App administrators can configure the app by selecting field types such as text, numbers, dates, multiple-choice options, and phone numbers. Once the form is finalized, campaigns can be created within the app and distributed via email.

Recipients can open the shared link and collaborate on a single response. Multiple users can view and edit the form before submission. After the group completes the input, the final submission is stored and made available for review.

Example

To define the term "Customer," a collaborative app can be created with separate campaigns for the marketing and sales teams. Each group can provide its perspective on the term, and responses can be evaluated to arrive at a unified definition.

Campaign data is available in the application summary for tracking, comparison, and action. This ensures that all stakeholder perspectives are considered and recorded.

Open Survey App

The Open Survey App is designed to collect individual responses, making it well-suited for compliance-related tasks such as Data Subject Access Requests (DSAR) and data consent confirmations. It ensures confidentiality while capturing data from respondents who may not have an OvalEdge account.

Administrators can build a survey by configuring fields such as text, number, dropdowns, dates, and phone numbers. The form can then be sent directly to the intended respondent via email. Each form includes an optional expiration period to enforce submission deadlines.

When recipients receive the link, they can access the form directly without authentication, complete the fields, and submit their responses. All submissions are captured securely and stored for review.

The application allows organizations to maintain compliance with data protection laws by enabling transparent and auditable feedback collection.

Access and Security

Access to the Governance App is controlled through system-defined roles and permissions. Stakeholders can configure which users have rights to create, edit, and delete apps within the Governance module.

Access permissions are managed through the Application Security settings, where roles such as viewers, editors, and administrators can be granted specific access levels.

Governance roles assigned at the app level determine which users can design forms, manage campaigns, and view collected responses. This role-based model ensures that data access and administrative functions are restricted to authorized personnel, maintaining the integrity and security of governance workflows.

These settings can be updated at any time to reflect changes in responsibility or project scope.
